Description Performs complex court clerical work.
Work involves support tasks primarily involving customer service and support/clerical activities which may include: processing inquiries and requests for information; entering and maintaining data; answering phones; filing and maintaining correspondence, files, reports, etc.
Works within a well-defined framework of policies and procedures under immediate supervision, performing other duties as required.
Works under general supervision with moderate latitude for the use of initiative and independent judgment.
Examples of Duties Receives and processes documents filed in the court; reviews for accuracy and completeness; records and processes orders, judgment, and decrees of courts.
Maintains constant availability for Court appearances attends and understands court proceedings.
In the absence of the Bailiff, announces the judge in open court and assists in such other manner as needed.
Administers oath to litigants.
Assembles and delivers to Court before hearing or trial appropriate cases files, docket sheets, jury panels list, etc.
Enters all court notes into the Case Management System.
Reviews, sorts, assembles, and organizes materials; routes and delivers daily mail and documents to appropriate parties.
Prepares and issues subpoenas, warrants, attachments, precepts, citations, abstract of judgments, writs of executions, orders of sales, dispositions on criminal cases or other legal instruments as authorized by the court records, makes entries of each issuance on docket sheet.
Calculates and collects proper fees for filing of cases and process of issuance.
Prepares and delivers various legal documents and instruments to the judge for approval and signature.
Assists the Central Jury Room staff during Juror qualifications.
Responds to telephone inquiries from attorneys and other interested parties regarding court costs and information related to a case or prospective case before the court.
Prepares and submits monthly Court statistical reports to office of court administration and various reports regarding court transactions.
Responsible for recording all charges for court orders and judgements issued by the court, prepares bill of costs and mails to various parties.
? Responsible for maintenance and process of drop docket.
Processing necessary paperwork to remove cases from the dockets after specified waiting periods with no activity on the case.
Prepares change of orders and cases to other counties; prepares documents, assesses fees, e-files and mails.
Prepares Clerk’s Record for Court of Appeals.
Performs daily electronic filing.
Scans legal documents into Case Management System.
Retrieves files for clerks, attorneys, litigants, and the general public; locates case information and enters data into Case Management System.
Stays abreast of laws, statutes, new trends and innovations in the field.
Commits self to providing excellent customer service and demonstrates commitment through cooperative team and individual efforts.
Attends and participates in meetings, trainings and information sessions.
Acts in the name of the District Clerk and shall perform all official acts as may be lawfully done and performed by such clerk in person, pursuant to Sec.
51.
309 (a) of the Texas Government Code.
Performs any other duties as assigned.
Depending on area assigned: Submits monthly reports to the Office of Attorney General.
Enters new case filings into the Case Management System.
Processes passport applications.
Secures vaults in the District Clerk’s office; ensures all files are properly checked out.
Monitors status of cases that are checked out.
Orders and maintains supplies.
Keeps inventories.
Qualifications Must have a High School Diploma or GED from an accredited institution.
At least one (1) year of work experience in clerical functions.
Must be able to type 35 wpm.
Supplemental Information Ability to communicate orally and in writing in the English language and orally in the Spanish language.
Must be knowledgeable in office equipment, computers, and software, related to the operation of the County Courts at Law and District Courts.
Ability to establish and maintain effective working relationships with staff, members of the legal profession, and the general public.
Knowledge of modern office procedures.
Ability to provide exceptional customer service.
Skill in oral and written communications.
